Last updated April 2026. Engineering-grade about your data, too. We collect what's needed to size, install, and service mechanical equipment, and nothing more.

01 / Information collected

What we collect, and when.

When you request an estimate or service, we collect: your name, phone, email, property address, and any details you share about your existing system or the issue. During the estimate visit we collect: envelope measurements (windows, walls, ceilings), duct measurements, photographs of mechanical rooms, and equipment model + serial numbers. The Manual J load calculation we produce contains all of this in structured form.

The site uses privacy-first analytics (Cloudflare Web Analytics) that don't set cookies and don't fingerprint visitors.

02 / Use

What we use the data for.

To produce a Manual J load calculation and itemized proposal.
To order equipment and pull permits.
To file IRA 25C tax-credit paperwork on your behalf (with your signed consent).
To submit Xcel rebate applications on your behalf (with your signed consent).
To service the equipment under warranty.
To send a one-time email asking for an honest review (no follow-ups).

03 / What we never do

Things we don't do with your data.

Sell it.
Add you to a marketing list without explicit opt-in.
Share with manufacturers beyond what's required to register your warranty.
Run pixel-based remarketing.

04 / Third parties we use

Equipment manufacturer warranty registration.

To activate equipment warranties, we register your install with the manufacturer (Mitsubishi, Carrier, Bosch, Daikin, Trane, etc.). The minimum data required is: your name, address, and the equipment serial number. We do not opt you in to manufacturer marketing communications during registration.

For IRA tax credit and Xcel rebate filings, the appropriate forms are submitted to those agencies/utilities directly, with your written consent.

05 / Retention

10 years on equipment records.

Install records (load calc, equipment specs, commissioning data) are retained for 10 years to honor warranties. Service-call notes are retained for 5 years. Site analytics are aggregated after 30 days; raw page-view records are deleted.

06 / Your rights

Request, correct, delete.

You can request a copy of any data we hold, ask us to correct it, or ask for deletion (subject to the warranty-related retention windows above). Email service@summithvac.example with subject "Privacy request" and we'll reply within 10 business days.
